Christmas Break

We would like to advise that the Human Edge Support Centre will take advantage of the school holidays and close for the Christmas - New Year break at 12:00 pm on Friday 23 December 2005 and will reopen on Monday 9 January 2006. The main office will also be closed from 12:00 pm on Friday 23 December 2006 and will reopen on Tuesday 3 January 2006. If you have an urgent problem, limited support will be available from Tuesday 3 January 2006 to Friday 6 January 2006 by calling the main office on (03) 9690 5044.

Electronic Roll Marking

Product Development

Development is now almost complete on the final release of First Class 2000. This final version is due out in the next week, and includes SMS messaging and a new Co-ordinators’ report for tracking student absences in A+.

We are also continuing our work on the much-awaited First Class SQL. We expect that the first release will be available mid-January for testing, ready for general release early in the school year. Some highlights of this new package will include:
  • The ability to store multiple timetables in one central database.
  • Grid blocks and timetable blocks are no longer separate items.
  • You can now assign students to classes outside their year level.

Product Release

This section of the newsletter highlights selected items from the recent release of First Class. Some of these have been mentioned in previous Newsletters, but are worth mentioning. Version 4.0.730 was a major release and is available from our website.

A+ Reports The reports section of A+ has been greatly enhanced, with better methods of extracting data, and more options available within those reports.
There is a new “Unmarked Classes” report. This allows you to determine whether all classes have been marked.
The two Cases reports are now printed from the one selection screen, with radio buttons indicating which one you wish to print.
Year Level for Rollover is now used for reports as Year Level may have some years combined.
First Class The “Frees” column in the “Available Teachers” screen has been changed to more accurately reflect the number of free periods the teacher has, decrementing as extras are given. Cancelled classes, such as camps and excursions, will increment the number.
A+ When editing rolls by student, “unmarked” no longer automatically changes to “Present” when “Edit” is clicked. When editing rolls by class it is now possible to suppress the automatic change from "unmarked" to "Present" by holding down the <Ctrl> key when clicking “Edit”.
The “Explanation Letter” has been added. You can now create a letter to send to parents/guardians asking for an explanation for unapproved absences.

Did You Know?

Software

There have been a number of changes to A+ to make the attendance marking process even easier.

Absence Activity Report
The summary version of the absence activity report will be useful for Year Level Coordinators as it highlights the overall absences of the day.
At the end of each day you can view/print a summary of the absence activity for a year level by selecting the "Summary" radio button, the year level and today's date.

Unmarked Classes Report
Prints out all the classes that have not been marked. Useful for reminding the relevant teachers to do so.

Roll Conflict Screen
If there are anomalies between data entered in either First Class (Edit Rolls) or First Class Web and synchronized data from the PDA, you can quickly discard the inappropriate alternative.

Mark All in Edit Roll
Select either by student or class, select a date or date range, select a reason and click “Mark All”, and all students/periods are marked with that reason.

Explanation Letters
Create a “please explain” letter to be sent home to parents of students with unreconciled unexplained absences.

Attendance Rate Report
Reports on absences by subject or class.

First Class Training

Training for the other courses has finished for 2005, but keep a lookout for dates early in the New Year. Here is a brief outline of the training courses offered.

First Class Blocking
This course expands on the concepts studied in the introductory course, and is best suited to those users whose duty it is to enter students into their choices and allocate them to their classes. Although it is not mandatory to have attended the introductory course, this course does presume more than a basic knowledge of the Blocking process.

First Class Timetabling
This course is designed for those whose task it is to produce and maintain the school timetable and expands on the concepts studied in the introductory course. Prior attendance at the introductory course is recommended but not mandatory.

First Class Extras
This course expands on concepts studied in the introductory course and is designed for those whose task it is to enter teacher absences, camps and excursions, and then cover any classes that require a replacement teacher. To allow you to complete the day's Extras, this course conveniently starts at 10.00am. Prior attendance at the introductory course is optional.

First Class Advanced
The advanced course is mainly for those who may need to travel long distances but would like expand on their knowledge of First Class. It covers all the aspects of the Blocking, Timetabling and Extras courses, but over two consecutive days.

Day 1
This day covers Navigating around First Class, Database Management, Importing and Exporting data, Basic Data entry and Student Courses.

Day 2
This day covers Timetabling and Extras.
