As a follow up to our Backup article from Issue 12 of the newsletter email, this weeks email expands on the need for contingency planning. Contingency planning is vital to ensure that your computer system can be up and running as soon as possible following any disaster.
The first step in organising a contingency plan is to identify the situations that may cause a disaster, and the consequences they will have on your business. Disasters such as fire, theft, storm damage, and power outages are common threats to all businesses but you may have specific circumstances that also need to be addressed. Computer systems are also prone to attacks from hackers, virus emails, hardware failure, computer fraud or even sabotage.
The next step is to assess the level of risk you face from each of these potential disasters, and then to put in place a plan to minimise the chance of a disaster occurring, and how you would recover if one should occur. Your plan should include preventative measures that minimise the impact of such an event, the actions required to get you system running again in case of an event, and any equipment, personnel or services required to get your system running again (even in a temporary state). It’s important that your plan has clear steps and that your employees are aware of who is responsible for each to minimise confusion and downtime.
As with backups it is vital that you have someone in charge of your contingency plan and that they review this regularly, as your computer equipment is likely to change over time.
How do I import Rooms from a text file into First Class?
When importing text files it is no longer necessary to modify the file using Notepad as it was with First Class 6. All of the necessary modifications can now be done using Excel. For example, it is possible to import rooms into First Class from a text file.
The first step is to save the data from your text file in an Excel spreadsheet.

OPEN the text file using Microsoft Excel

The TEXT IMPORT WIZARD will appear
|

Click NEXT
|

Select the type of DELIMETER used in the file (in most cases this will be a comma)
|

Click NEXT
|
 |
Click FINISH
|
The data should now be visible in Excel.
Make any required changes to the data, for example, it may be necessary to delete a column or change the order in which the columns appear. When importing Rooms the first column should contain the Room's code and the second column should contain the Room's name. If there are headings on each column then these should be removed.
Your data now needs to be saved:

Go to FILE>SAVE AS

Select the Save As type of CSV (MSDOS)

Enter a name for the file (e.g. Rooms.csv)
|

Click on SAVE
|
The final step is to import the file into First Class.

Go to the FILE>IMPORT>TEXT FILES
|

Select ROOM as the import type
|
 |
Type in the name of the file (e.g. c:\rooms.csv) or browse for the file by clicking the BROWSE button
|
 |
Click on the GET DATA button. This will read the file but will not make any changes to the First Class database.

Now click VIEW DATA to check that the data has been correctly read, ensuring that the Code and Name columns contain valid codes and names
|
 |
Click TEST UPDATE to test the import
|
 |
If you are happy with the results then click UPDATE
|
Teachers, Subject, Year Levels, Year Levels for Rollover, Forms, Students and Subject Choices can all be imported using the same method. It is also possible to import student export codes by going to MAINTENANCE>EXPORT and clicking IMPORT CODES.
