  Pay2K Development

As we approach the end of financial year we are working towards a new release of Pay2K which will contain 2 changes relevant to the printing of Payment Summaries (formerly Group Certificates). Firstly the Australian Taxation Office (ATO) have specified a new layout for the transfer file that you send to the tax department. The new specification is V7.4 and replaces V7.3 that Pay2K already supports. We have tested the new format using the ATO's self-testing software to ensure the file will be accepted, and have added extra checking in Pay2K to ensure that you fill in all required information before producing the file. The second major modification to Pay2K will be the addition of a re-bank or reversal facility. This feature will allow you to reverse out an updated payroll for an individual or a whole pay run. This will allow for the case where you may have accidentally duplicated a pay, included an employee who should not have been paid, or paid someone an incorrect amount. By providing this feature it will ensure your year to date figures are correct before the printing of Payment summaries. This release of Pay2k should be available in early June.

How do I backup Pay2k?

Firstly, you need to be aware that the backup function in Pay2k is a convenience backup and does not constitute a secure backup as the file is created in the same location as your live Pay2k data.

The purpose of this Pay2k backup function is to take a copy of your payroll data at specific points during the pay run so you have a copy of your data to return to should an error occur in the information being processed for the pay. For example an employee may have been included in the pay by mistake.

You still need to take a secure backup of your Pay2k data to ensure that you have a copy to restore from should something happen to the hard disk of your computer. This copy should be stored in a safe location, preferably in a fire-proof safe or offsite. To make a proper backup you need to copy the Pay2k data from your computer to a zip disk or tape drive. You can either do this manually or make sure your computer’s backup software is set to do it automatically for you.

An article explaining the importance of backup procedures was included in Issue 12 of this newsletter which was emailed on the 11th of April. If you would like us to resend a copy of the Newsletter please contact us using the link below:

  Website of the Week

www.whereis.com.au

This is a fantastic website for navigating around metropolitan areas and regional centres in Australia. You can use the Map Search feature to display a map showing the location of a particular street, which can be zoomed in or out, and there is also an option to show the nearest parking stations in the area.

Another very handy feature is the Directions Search. This shows you the best route to use when going from one location to another and estimates the time your journey will take you. You are able to nominate whether you wish to travel by foot or by car, with tolls or without tolls. The search will provide you with a map as well as written directions indicating the streets to take from the start of your journey until you reach your destination.

If you are looking for a hospital, park, police station or shopping complex within your suburb you can also use this site. The Place of Interest Search will provide you with a list of all results for your area and you can view maps for each. You can carry out a more refined search by using the Map Search to locate a particular street and then using the Place of Interest Search drop down menu once the map is displayed.

Where Is Online is produced by UBD and currently provides detailed maps for metropolitan areas and regional centres around Australian capital cities only. According to the website, map coverage is being updated progressively and their aim is to create the most comprehensive and complete online map database for Australia, so keep watching for maps of other regions!
