The download/upgrades section of the Human Edge Website allows schools access to the latest version of our Administration, Timetabling and Payroll software packages, and provides a convenient way for all schools to keep quickly up to date. Free access to these areas is limited to schools that participate in our Service & Support programs. To improve security we will be introducing new passwords to the downloads section of the website for each package. These passwords will be updated regularly and at random with all members of the Service & Support program notified via e-mail prior to the change.

All current members of the Service & Support program will receive an email early next week containing the new password. If you have an unpaid, overdue Service & Support renewal or are not a member of the program you will not receive the password. Please check your status to ensure that you have uninterrupted access to the latest software. If you have any concerns and want to check your status simply use the link below to email us.

  How Do I?

How do I set up a Pay Group?

If you have several employees at the school whose wages are basically the same you can set up a Pay Group. This Pay Group is then used in the Autopay to record the wages transaction codes that would apply to all employees in the group. The advantage of this is that, should a change come through that affects all the employees in the group, you only need to update the Autopay information once on the Pay Group record rather than updating an Autopay record for each individual in the group. This will save you time.

To set up a Pay Group you need to establish which employees will be part of the group, then set up the Pay Group and link the relevant employees to the group.

Go to MAINTENANCE>PAY GROUP and add a Pay Group
Enter a code and description for the group as well as the pay period and the pay rate. Make sure the 'Show only Employees not in a Pay Group' option is ticked.
Select the employees that belong to the group by highlighting their name on the left side of the form and clicking on the >> button to move them to the right side of the form
To remove an employee from a group highlight their name on the right side of the form and click on the << button to move them back to the left side of the form  
SAVE the Pay Group


Go to MAINTENANCE>AUTOPAY DETAILS
Select the Pay Group and enter the transactions that are appropriate to all employees in the Pay Group

Items that are specific to individual employees are not entered as part of the group. These items still need to be entered on the Autopay record for each individual employee.

When the current pay is processed the information from an employee's Autopay record and from the Autopay of the Pay Group that the employee belongs to will be processed for that employee.

Example:

Mary Smith has
Salary -SAL1 for $1200 per fortnight
Employer Super - SUPER for 8%
Position of Leadership - POL $200 per fortnight

Joe Bloggs has
Salary -SAL1 for $1200 per fortnight
Employer Super - SUPER for 8%
Employee Super - SUP3 for 3%

Jeff Smith has
Salary -SAL1 for $1200 per fortnight
Employer Super - SUPER for 8%

As all 3 employees have the same salary they can be set up as part of the same Pay Group. To do this:

Go to MAINTENANCE>PAY GROUP
Set up a Pay Group with the code PG1 and description Salary Level 1
Add Mary Smith, Joe Bloggs, and Jeff Smith to the Pay Group
Go to MAINTENANCE > AUTOPAY DETAILS  
Select the Pay Group Salary Level 1 and EDIT
Add the SAL1 and the SUPER transaction codes to this Pay Group as these are the transactions that are common to all 3 members of the group
SAVE

You now need to enter individual pay details for each employee:

In Autopay call up Mary Smith's record and edit it to put on the POL code as this applies only to her. You will see that the information you entered in the Pay Group will be visible on her record, but cannot be edited here.
In Autopay call up Joe Bloggs' record and edit his Autopay record to put on the SUP3 code as this applies only to him. Once again, you will see that the information you entered in the Pay Group will be visible on his record, but cannot be edited here.
You do not need to add any additional information to Jeff Smith's record, as his information is identical to that set up for the Pay Group.

Using the Pay Group has been more efficient as you have only had to enter the SAL1 and Super transaction codes onto the Pay Group record instead of having to enter them for each of the 3 employees.
