How do I use Departments?
Departments are used to give you a summary of your Salaries on a departmental level rather than on an employee basis.
In Pay2k you need to have at least one Department set up under MAINTENANCE>DEPARTMENTS, as it is a compulsory field on the employee's record.
To take advantage of this feature you will need to set up a Department in Pay2k for each department you have in your organisation.

These are recorded as an Hours amount and as a Cost to the department. How accurate the Hours amount and Cost are will depend on how you have set up the transactions.
The Department's area also shows the amount of any termination pay that has been paid for that Department and the Month to Date and Year to Date wages figures.
This information is automatically picked up from the Current Pay and is based on the Department information that has been specified for the employees at the time the payroll updated.
While some employees may work for different departments at different times the Department area on the employee record only records one Department. The time the employee spends working for other departments is indicated in the Autopay (if it is a regular split between departments) or in the Current Pay, by specifying the Department that is appropriate for each transaction on the pay.
For example: Mary works as a gardener for 2 days each fortnight and in the administration office for another 2 days.
To split Mary's time on the Current Pay you would enter 2 normal time transaction codes. One for the time she works as a gardener for the Maintenance Department and one for the time she works for the Administration Department.

If the transactions are set up to transfer by Department then the amount of the wages will transfer to the appropriate expense account for each Department. If the Transaction Codes are not set up to transfer by Department then the amount will go through to one wage's expense account.
In either case, REPORT>DEPARTMENTS in Pay2k will give you a breakdown of the amounts that have been allocated on a departmental basis.

Your privacy is protected as only your name and the names of the school/s you attended are publicly displayed on the site. (This is not the case for the Message and Notice Boards however so you should be careful about the information you choose to post here.)
