How do I process the Education Maintenance Allowance (EMA)?

If students attending the school are eligible for the Education Maintenance Allowance (EMA) the school will receive a cheque from the Government that has to be allocated to the school fees for several families.

To put the Government cheque into the Bank Account:

Go to RECEIPTS>RECEIPTS
Select to enter a SUNDRY receipt
Enter the details for the cheque on the RECEIPT TAB
Go to the SUNDRY TAB and allocate the payment to the appropriate GL account code

There are now 3 ways that the EMA can be allocated to the families:

Method 1 Using the Credit Module

Use this method if you want to use the School Fee Reconciliation and the Tuition Fee Reconciliation Reports.

Go to FEES>CREDITS
Select the Fee Paying Contact for the student(s) that are to receive an EMA amount
Select the Credit Type (EMA)
Check that the date is correct
In the COMMENT area enter a note to indicate that the entry is an EMA. Note that the comment will print on the Contact's statement
Either:

Enter the EMA amount in the AMOUNT field on the DETAILS tab and let SAS2000 allocate the amount to the oldest bill first

Or

Go to the MATCHED tab and enter the EMA amount against the appropriate bill item(s) it is to pay. SAS2000 will total the amount that has been matched off and put this value into the AMOUNT field on the DETAILS tab

Method 2 Using Fee Generation

Use this method if you will not be using the School Fee Reconciliation Report or the Tuition Fee Reconciliation Report. This method will throw the reconciliation of Theoretical to Actual out on the report by the EMA amount.

Refer to the Tips and Tricks Document: "Education Maintenance Allowance". The section "Method 1 Fee Generation" has details on how to set up a Fee Generation for the EMA. Once you have followed the instructions in this section you will be referred to the EMA Post Bills section and the EMA Receipts section of the Tips and Tricks Document.

Method 3 Manual Billing

Use this method if you will not be using the School Fee Reconciliation Report or the Tuition Fee Reconciliation Report. This method will throw the reconciliation of Theoretical to Actual out on the report by the EMA amount.

Refer to the Tips and Tricks Document: "Education Maintenance Allowance". The section "Method 2 Manual Billing" has details on how to manually bill for the EMA. Once you have followed the instructions in this section you will be referred to the EMA Post Bills section and the EMA Receipts section of the Tips and Tricks Document.
