How do I delete a Contact for a student who has left the school?
You can only delete a Contact out of SAS2000 if no financial information is recorded for that Contact. Even if the Contact has a zero balance on their account you will not be able to delete them if any financial transactions have ever been entered.
The reason Contacts with financial information cannot be deleted is the continuity of the SAS2000 database and the relationship between the Contacts and the Receipts and Bills which impacts on the General Ledger. All transactions that have been entered in SAS2000 are stored in the one database, which means you do not have to start a new database for every year and enter opening balances for every account, and you don't have to rush to enter your end of year accounting information. However, as the financial information for every year is held in the database, removing Contacts would make reconciling the information more difficult.
Keeping the Contacts also means you have a full financial history of what each Contact has paid should you need to check on when payments were made.
To delete a Contact that does not have financial records:
