  Software Licensing

Most of us would be familiar with software licensing concepts and the general rules regarding copyrighted and intellectual material. By purchasing a software license a purchaser is allowed to use the software subject to certain conditions. The important points to note here are that the purchaser does not actually own the software and that the license is granted subject to certain conditions.

Owning the software is not an issue as you can generally use it for a lifetime, however you are not permitted to sell, modify or in any other way interfere with it. There are usually a number of conditions for use of the software and these can be found with the software license agreement attached to the software or displayed on installation.

One important condition is the restriction on installation and use. For example, a SINGLE USER license for SAS2000 (and most other software products), allows you to install and use the software on ONE COMPUTER only. This does not mean that you can install the software on several computers but only use one at a time. To do so is an infringement of the software license and is generally termed software piracy.

At Human Edge we understand that many schools have several members of staff who require access to the same software, so we offer MULTI USER licenses for our products. A multi user SAS2000 license is a unique and fantastic value for money option as you can install the software on as many computers at the one campus as you like, including one computer “at home”. We believe that no other software supplier in the administration area offers this freedom and financial advantage that represents a saving of thousands of dollars to a school. Using the security options, a school can exactly tailor the software to suit individual groups. This means that only the data and functions that are required by any individual are presented to them.

Our licensing program works on a basic honesty system. We have chosen to operate it this way as we expect that schools would abide by the rules (both moral and legal) and also set an example for children to follow. Software piracy directly affects the ability for companies to continue to provide the products and services that users continue to demand and expect, and has a much greater negative impact for smaller companies such as ourselves.

We offer several different licensing options for each of our products so we understand that some schools may be a bit confused about exactly what their licensing agreement entitles them to.   How Do I?

Create a list of students giving their age in years and months at a certain date?

Following our information on how to work out the student age at a certain date, we have had several queries about how to work out the age in years and months.

To calculate the student age in years and months is very similar to working out the student age in years it just requires an additional step to calculate the months. The method of calculating the student age in years was in a previous newsletter and has been reproduced here for completeness of information.

Go to PEOPLE>STUDENTS and use the FIND feature to select the desired students to include (e.g. Year 7s only)  
Click on the EXPORT button from the toolbar  
Select the fields you require for your list, remembering to include the student date of birth field as this is required to calculate the age at a certain date  
Click on the EXPORT button and specify that you want the export file to be of type CSV with Headers  
Open the exported file in Excel
Note: when looking for the export file to open in Excel you need to specify that you are looking for a CSV file not an XLS file.
 

For this example we will assume that the empty columns are G and H, the student date of birth is column D and the data starts at Row 2.

In Cell G1 (at the top of the first empty column) type in the date at which you wish to calculate the students' ages  
In Cell G2 (empty column on the first student record) type in the following formula:
=Rounddown(($G$1-D2)/365,0)
 
Press ENTER. The years of the first student's age at the specified date will now appear.  
Select the G2 Cell again and you will notice that in the bottom right hand corner of the cell the border will have a tiny square. Double click on this tiny square and Excel will automatically copy the above formula to all the remaining cells in the column. Now all students should have the years of their age at the specified date being shown.  
In Cell H2 (the next empty column on the first student record) type in the following formula:
=Rounddown(((($G$1-D2)/365)-G2)*12,0)
 
Press ENTER. The months of the first student's age at the specified date will now appear.  
Select the H2 Cell again and you will notice that in the bottom right hand corner of the cell the border will have a tiny square. Double click on this tiny square and Excel will automatically copy the above formula to all the remaining cells in the column. Now all students should have the months of their age at the specified date being shown.  

Get information out of SAS2000 for the auditors?

This will depend on the information that the auditor requires. Some reports the Auditors may find useful are:

REPORTS>FEES>BILLS
This report will give you a General Ledger Breakdown, a Fee Item Breakdown, and a Tax Summary for all bills raised in the specified period. You can choose to include the detailed report, which lists the Bill Numbers, Contact Name and amount Billed. The Bill Status can be used to restrict the bills that print on the report to be only those that are posted, or only those that have been paid etc.
 
REPORTS>RECEIPTS>RECEIPT DETAIL
This report will give you a General Ledger Breakdown, a Fee Item Breakdown, and a Tax Summary for all receipts entered in the specified period. You can choose to include the detailed report, which lists the Receipt No, Date, Contact Name, the Bill being paid and the amount being paid off that bill. You can also choose to include sundry and unmatched receipt amounts, and un-posted receipts on the report.

The bill dates on this report let you restrict the report to print only receipt amounts, entered in the specified receipt date range, which paid off bills created in the bill date range. This way you can get a list of receipts that paid off fees from a previous period (fees in arrears).
 
REPORTS>FEES>FEE PAYER TRANSACTIONS
When you run this report with Include Transaction Details selected, it will list all entries that have been entered for each contact in the selected date range.
 
REPORTS>FEES>STATEMENT SUMMARY
When running the report you select the date you require the opening balance calculated at and the date you want the outstanding balance calculated at. With this information specified, the report prints the opening balance on each contact's account at a specified date, the amount that has been billed and the amount that has been receipted for each contact between the Opening Balance date and the Outstanding Balance date, and the balance of the contact's account at the outstanding balance date.

When running the report you can select to have un-posted transactions included in the report. You can also select to include or exclude amount for contacts that are marked to not receive statements.
