  How Do I?

How do I get the information for the DETYA Census in August?

There are reports in SAS2000 that will help you complete the information on the DETYA census. Certain information will need to be recorded in SAS2000 before the reports will be accurate.

Go to PEOPLE>STUDENTS
Click on the CENSUS tab

At the top of the Census tab is an area for recording if the student is Part time* and below this are a number of tick boxes:

Boarder*
Indigenous*
Integration (this field records if the student has Disabilities*)
New Arrivals
DETYA English Second Language*
LOTE Background
Full Fee Paying Overseas Student*

The fields with an asterisk (*) after them are used, along with the student's Gender, Age and Year Level, to create the DETYA Census report.

Under REPORTS>CENSUS are reports that will help you complete the census. The main report is called:

DETYA Census
This report is to be run for the date of the census. The report will look at the date it is being run for and compare this to the start and end dates on the student records to determine which students are to be included.

The information given on the report is numbers of students broken down by Year Level and Gender into several categories:

All Full Time Students
Boarders
Full time students with Disabilities
Full Fee Paying Overseas Students
ESL Students
Indigenous Students
Age as at the 1st July

The number of students given for the above categories will only include students who are Full time.

The report has a separate section for Part time students only, which lists the student's Name, Gender, Date of Birth, Year Level, Time Fraction at your school, Name of the other school attended, School Number (if applicable) and Time Fraction at that school.

Ensuring the student information is up to date
To ensure the information on the report is up to date you will need to review the information held on the student records. The Part time students can be matched off the list given as part of the DETYA Report.

Under REPORTS>CENSUS there are 2 reports that will let you know which students are marked as being Indigenous or having Disabilities. You may also find these reports useful when completing the census information.

Disabilities Report
This report lists the Name, Gender, Date of Birth, Year Level, Start Year and Time Fraction at the school for all students who are registered in SAS2000 as having a disability.

As well as looking at the disability information on the student's record the report will look at the date it is being run for and compare this to the start and end dates on the student records to determine which students are to be included.

Indigenous Feb Report
This report lists the Name, Gender, Date of Birth, Year Level, Start Year and Time Fraction at the school for all students who are registered in SAS2000 as being indigenous.

As well as looking at the indigenous information on the students record the report will look at the date it is being run for and compare this to the start and end dates on the student records to determine which students are to be included.

To check which students are marked as being Boarders, ESL, or a Full Fee Paying Overseas Student:

Go to PEOPLE>STUDENTS
Click on the CENSUS tab
With a blank record on screen, tick the appropriate field and click on FIND
This will call up all the student records with this information recorded on their record
You can then check this information to ensure that all the students who have been found in SAS2000 match the students you have at the school that should have this selection
Repeat this check for each of the criteria

Remember the FIND will pick up all the students with the criteria selected but the DETYA report will only include the students who are Full time.

  Website of the Week

www.changemyaddress.com.au

If you have ever moved house you would know how long it takes to advise everyone of your new address. You can waste a lot of time on hold in queues to call centres, filling out and mailing change of address forms all whilst trying to organise removalists, pack and then unpack your possessions!

This website aims to provide a "one-stop shop" for people moving house. It will save you time as you simply enter your old and new address details once, select the service providers you wish to notify and let the website do the rest! It will even provide you with contact details for removalists, storage space providers and cleaning and maintenance services.

The website uses similar security technology to that used by major banks and credit card companies and only information that is relevant to each service provider is sent to them. Change My Address also guarantees that your information will not be sold to marketing and direct mail companies.

You can log back in to the site at any time to send your new details to a service provider that you may have forgotten. The service keeps a log of all notifications sent so that you can refer back to them. It also provides you with e-cards to send to your friends as notification of your new address.

Moving house can be quite a headache. The Change My Address website offers some relief, mainly because you don't have to listen to any hold music!
