  SAS2000 Development

The next version of SAS2000 is due for release before the 31st of May. The main feature of this release will be the introduction of an EFT Schedule for the quick processing of regular receipts that come from payment arrangements made between the school and parents. SAS2000 will let you define multiple schedules which can have different payment frequencies and will define the next scheduled processing date. A schedule will define the parents to be included, along with their bank details and the standard amount to be deducted from their bank account/credit card. For cases where a parent advises you to increase/decrease their next payment you will be able to do a once only adjustment, or even place them on temporary hold if the parent advises they have insufficient funds to cover the next payment.

When you process a schedule (or multiple schedules at once) SAS2000 will automatically create a batch of unposted receipts for the amounts specified. You can review these prior to posting, and even delete a receipt for a particular fee payer if rejected due to insufficient funds. The system can also be set up to create a transfer file for importing into your banking software, saving you the extra time needed to maintain payment details in two places. With more and more schools moving towards regular payment terms with parents this new feature should be a fantastic addition to SAS2000. The EFT schedule could even be used to help you process BPay payments if your school offers this facility.

  How Do I?

How do I use Creditors when I am running a cash-based system?

The creditors side of SAS2000 only runs in accrual mode regardless of how you have set up SAS2000 to run. If you run SAS2000 as a cash-based system and you are looking at using the Creditor Bills and Payments section of SAS2000 there are a few things you need to be aware of.

The Creditor Bills and Payments transaction will appear in your General Ledger and Business Activity Statement when the Creditor Bill is posted.

This will only be a major issue at the end of the financial year as any Creditor Bills dated in the year you are closing that were not paid until the next year will have to be reversed to complete your Annual Financial Statements. It will also cause minor issues each month due to a timing difference with the information reported by your BAS.

A way to get around this with a cash-based system is to make the received date that is entered for the bill the date that you are making the payment on.
Note: The received date is the date that prints on the remittance advice with the bill information

  Website of the Week

www.whereis.com.au

This is a fantastic website for navigating around metropolitan areas and regional centres in Australia. You can use the Map Search feature to display a map showing the location of a particular street, which can be zoomed in or out, and there is also an option to show the nearest parking stations in the area.

Another very handy feature is the Directions Search. This shows you the best route to use when going from one location to another and estimates the time your journey will take you. You are able to nominate whether you wish to travel by foot or by car, with tolls or without tolls. The search will provide you with a map as well as written directions indicating the streets to take from the start of your journey until you reach your destination.

If you are looking for a hospital, park, police station or shopping complex within your suburb you can also use this site. The Place of Interest Search will provide you with a list of all results for your area and you can view maps for each. You can carry out a more refined search by using the Map Search to locate a particular street and then using the Place of Interest Search drop down menu once the map is displayed.

Where Is Online is produced by UBD and currently provides detailed maps for metropolitan areas and regional centres around Australian capital cities only. According to the website, map coverage is being updated progressively and their aim is to create the most comprehensive and complete online map database for Australia, so keep watching for maps of other regions!
