How do I quickly assign students to their user fields

Every year or term you may need to change the user fields you have allocated to a student. User fields are the fields that the school has added to record information specific to the school and they appear on the Fields tab of the student record.

The quickest way to update the user field information is to use the User Fields Quick Selection area in SAS2000.

Go to PEOPLE>USER FIELDS QUICK SELECTION
Select the user field you are allocating students to from the USER FIELD area

Depending on the type of user field you are assigning students to, you may need to change the existing value. On the right side of the screen will be the list of students who currently have the specified value in the field on their record.

You can change the existing value for this field using the following method, provided the user field is not a check box:

Select the EXISTING VALUE
Key a new value into the ADD/UPDATE TO field
The EXISTING VALUE on the listed student's record will be changed to the new value

You can remove students from the user field in two different ways:

To remove selected students only, highlight their name(s) and click on the DELETE button
To remove all students from the user field click on the DELETE ALL button

To add students to the user field, use the tree view on the left side of the form:

Click on the "+" to the left of the option (class, form or year) that will make student selection easiest. This will expand the tree to display the groups under this heading.
To list the students individually, click on the "+" to the left of the group
All the students in a group can be allocated to a user field and value by dragging the group name from the left side of the form to the right
Individual students can be allocated to a user field and value by dragging their name from the left side of the form to the right

Once you have allocated the students to the user field and value you can then move on to allocate the students to the next user field or the next value for the current field. If the same group of students who have a particular user field and value also belong to another user field you can copy the list of students across.

For example, all the students who do swimming are also going on the camp. The students who do swimming have all been allocated to it.

With the SWIMMING user field selected click on COPY
Go to the user field CAMP and click on PASTE
All the students that were on the swimming list will be added to the camp list

Note any students that were listed as doing camp before the group of students were added to the camp list will also be included on the list.
