Product Release

In this section of the newsletter we review selected items from the recent releases of SAS2000.

"First Class" Time Table Integration
The facility to display timetable information for Staff and Students from a linked First Class Web database has been added to SAS2000.
For schools using First Class Web and SAS2000 this will increase the available options for checking the timetable.

Quick Select

The following enhancements have been made to the Quick Select Students and the Quick Select User Fields forms:
A new collection called School has been added which lists all students at the school as an alphabetical list.
The forms are resizable.
The columns can be sorted.
Multiple students can be selected by holding down the Control key while selecting the students.

Returned Payment

In Creditor Payments when a Returned Payment is created, for a lost cheque or failed electronic payment, it will now be automatically posted. A warning will be given prior to processing the return, as a returned payment cannot be unposted.
Student Activities
The following enhancements have been made:
Multiple students can be selected by holding down the control key while selecting the students.
A new collection called School has been added which lists all students at school as an alphabetical list.
Teachers are now assigned to a specific term or period grouping of an activity. This enables records of who ran a particular activity during a particular time period to be kept.

Exciting Feature coming...

A new feature in the next major release of SAS2000 (which will be released shortly) is the ability to link Notes in SAS2000 to additional information. This facility will enable you to attach a document, or a link to a web site etc. to a note.

The links could be to documents containing additional relevant information e.g. copies of letters sent, scanned images of documents e.g. Birth or Immunisation certificates, or a link to a web site e.g. a Suppliers web site for ordering. The link will provide you with the option of keeping records electronically instead of in manual files. The ability to record a link to additional information will apply to all note types in SAS2000.

Did You Know?

The Asset Register form can be set to open automatically when you save the financial information for the purchase of an Asset; to remind you to record the details for the asset. An Asset disposal form can also be set to automatically open when you save the information for the sale of an asset.

Follow the steps in the table below to set the Asset Register and the Asset Disposal forms to open automatically.

  1. Select GENERAL LEDGER -> CHART OF ACCOUNTS.
  2. Click on the yellow folder next to a G/L Account used to record the purchase of assets.
    Example: 5.5200 Furniture & Equipment.
  3. Set the Asset A/C field to
    ACQUISITION on G/L Account used to Purchase Assets.
    DISPOSAL on G/L Account used to Sell Assets.
    Note: Leave the Asset A/C field blank for G/L Accounts not used for the Purchase or Sale of Assets.

    Result: Whenever a G/L Account set to Acquisition is used with a Write Cheque, Make Withdrawal or Creditor Invoice, the Asset Register form will open. Whenever a G/L Account set to Disposal is used with a Receipt the Asset Disposal form will open.
  4. SAVE and CLOSE the form.
  5. Repeat steps 2 to 4 for each G/L account your school uses to purchase or sell assets
  6. CLOSE the Chart of Accounts form.
