End of Year courses.
Starting in November we will be running End of Year courses.

There are two courses; a Student End of Year course and a Debtor & Financial End of Year course.

The Student End of Year course covers the preparation work and the update process for moving students to their classes and year levels for the new school year.

The Debtors & Financial Year course looks at the preparation work, checks and update processes for the Arrears Consolidation and the Financial Year close. This course is designed primarily for cash accounting school’s that use the Arrears Consolidation process.

Product Release

In this section of the newsletter we review selected items from the recent releases of SAS2000.

Period Attendances
The Period Absences module was renamed to Period Attendances to reflect the enhancement of this module. The operation of this module was changed to record attendance information as well as absence information, previously only absences were recorded.
Close Financial Year
A check was added to this function to ensure that the Financial Year could not be closed if there are any unposted transactions.
Purchase Orders & Creditor Invoices
The “Ordered By” and “Authorised By” fields were adjusted to display the list of staff names in alphabetical order by surname.
Fee Generation
The Fee Generation Master record can no longer be deleted if it has fee items attached to it. Previously the master record for the fee generation could be deleted which then meant no further “bulk” actions (eg: unposting of all the invoices in the generation) were possible.

Exciting Feature coming...

An exciting new feature in the major release of SAS2000, which was released on Wednesday, is the ability to transfer fees from one contact to another. Transfer Fees will make the process of transferring the amount owing from one contact to another quick and easy.

Did You Know?

The export definitions that you set up in SAS2000 can be saved as a file and then loaded into another SAS2000 database, provided the fields selected in the export are common to both SAS2000 databases.

Follow the steps in the table below to open the Edit Export Definitions form.

Step Action
1. Open the export form where the export definition is saved.
  • People > Export > Enhanced export.
    or
  • People > Export > select the export name from the menu. Click on the export button.
    Example: People > Export > Student Mailing Export.
    or
  • Select the form to export from and click on the export button.
    Example: People > Students.
Result: The export form will open.
Enhanced Export.   Other Exports.
 
2.


Click on the button.
Result: The Edit Export Definitions form will open.


Follow the steps in the table below to save an export definition

Step Action
1.

Open the Edit Export Definitions form.

2.

Highlight the export definition to be saved and click on the Save button.
Result : A save export definition form will open.

3. Select the folder to Save in and enter the File name.

4.

Click on Save.
Result : The definition will be saved as a .XML file type.

5.

Click on Exit.

6. The export definition can now be loaded into another database.


Follow the steps in the table below to load an export definition into your database.

Step Action
1.

Open the Edit Export Definitions form.

2.

Click on the Load Button.
Result: The Select Export Definition File form will open.

3.

Select the XML file to load and click on Open.
Result: The export definition will be added to the list.
Note: If the export definition contains a field that is not common to both databases then the file will not load.

4.

Click on Exit.

5. To use the export select it from the export definition drop down list.
Enhanced Export.   Other Exports.
 


Export Definitions - Photo Export

We have had some feed back from school photographers about the information they need from schools for the student photos and the staff photos. One photographer has kindly supplied us with the information they require and we have used this to create the export definitions for Student Photos and Staff Photos.
