Outcomes Seminar for Principals

What is OUTCOMES?

Our newest software product and a totally integrated component to your administration system SAS2000. The system provides an easy, effective and simple solution for all your assessment, reporting and analysis needs. Intuitive for teachers to use, quick for administrators to setup, OUTCOMES takes away the burden of all other reporting systems.

There are lunchtime information sessions for Principals and other interested parties starting Monday the 23rd of May. The sessions will show you how OUTCOMES works and the benefits for your school.

The Seminar will run on:
Dates: Monday 23rd May, Wednesday 25th May, Thursday 26th May and Friday 27th May.
Time: 12 noon for 12.15pm start, concluding at 1.45pm.

Product Release

In this section of the newsletter we review selected items from the latest release of SAS2000.

Sundry Receipts now have the option to;
Enter the name and address of the person making the payment. This will make it easier to keep track of who has paid, and correctly address the receipt for mailing.
Link a Sundry Receipt to a student. This will make it easier to keep track of which families have paid for items that are not billed as part of the school fees and levies.

Sundry Receipts are located under RECEIPTS > RECEIPTS.
Automatic Purchase Order Number completion on Creditor Invoices. When entering a Creditors Invoice for Purchase Orders (that have been recorded in the Purchase Order module of SAS2000) the purchase order number will automatically be entered onto the Creditor Invoice as follows:

Where the Creditor Invoice has been linked to;
One Purchase order, by using the Quick Invoice button or the Orders button, the Purchase Order number will be entered.
Multiple Purchase Orders, by clicking on the Orders button, the first purchase order number will be entered followed by the notation "/M" to indicate that multiple purchase orders were selected.

Creditor Invoices are located under CREDITORS > INVOICES.

The Payment Details Report has been changed as follows:
The report will print all voided payments in bold to make it easier to identify these entries.
An option to select the report to show only Voided payments has been added.
The option to include payments entered through Creditor Payments has been added. Previously the report only gave the option to include payments made via Write Cheques and Make Withdrawals.

The report is located under REPORTS > BANKING > BANK PAYMENT DETAILS.
Alice Library Data Exports.
Two exports have been added to SAS2000 to transfer staff and student data across to the ALICE Library System.
The ALICE Library System exports are located under MAINTENANCE > SETUP > GENERAL tab, and are called STUDENT ALICE EXPORT and STAFF ALICE EXPORT.


Latest version of SAS2000

The latest release of SAS2000 is 5.0.915a. This was a minor maintenance release for 5.0.915 that was recommended for download by Victorian Independent schools, and schools who use the Creditors module. Other schools can choose to load the update to 5.0.915a or wait until the next major release in June.

If you do not already have release 5.0.915 or 5.0.915a installed, release 5.0.915a is available for download from our website.

Please refer to your organisations internal policies as to the upgrading of SAS2000 at your school.

A Welfare module is being added to SAS2000. The welfare module has 4 components:

Referrals Register.
Awards Register.
Incident Register.
Accident, Illness & First Aid Register.

We will look at each of the components of the welfare module in turn. We looked at the Referrals Register in the SAS2000 Newsletter Issue 1/2005. In this newsletter we will look at the Accident, Illness & First Aid Register.


Accident, Illness & First Aid Register

The Accident, Illness & First Aid Register is used to record the details of any medical treatment that the student has received at school.
The Accident, Illness & First Aid Register will record for the student being treated;

Details of the Accident or Illness. The date, time and location, Duty Teacher, who administered First Aid, accident or illness and the relevant details for the problem and the treatment given.
Notes; are available to record any additional details for the visit.
The Contact details will be visible in the register to make contacting the Parents or Emergency person, if required, a quick and simple process.


There will be 2 reports for the Accident, Illness & First Aid Register:
Accident & Illness The report lists the student's details, the details of the Accident or Illness and any notes for the accident or illness.You can select to run this report to print as one page per Accident or Illness.
Accident & Illness Summary This report is a summary of the accident or illness information. It gives one line of information per accident or illness record. The report lists basic student details, whether the record is for an accident or an illness, the date, time and location, and the name of the duty teacher and the name of the person who administered first aid.


The options when running the reports will be:

Issue with Medical Notes.

SAS Users should be aware that the Student Medical Listing and the Student Medical Report are not displaying the entire medical note on the printed report. More specifically, the Note Subject is omitted, but the Note Content is displayed. Depending upon how you have entered your data, this may result in important data not being displayed.

This issue will be resolved in the June release, but in the interim you may like to print these notes directly from the Notes Diary to ensure complete data. (Refer to the 'Did you know?' section of this newsletter for instructions on Printing Note Reports from the Note Diary).

The NOTE DIARY records all notes that are entered into SAS2000. While notes can be entered using;
The NOTES tab on different forms,
The ADD NOTE form on the PEOPLE menu, or
The NOTE DIARY module on the PEOPLE menu,

all the notes can be viewed and printed from the NOTE DIARY.

Follow the steps in the table below to select and print notes from the Note Diary:

Step Action
1. Log into SAS2000.
2. Select the PEOPLE menu.
Result: The menu will drop down.
3. Select NOTE DIARY from the menu.
Result: The Note Diary Window will open.
4. Select the view you require.
View Description View Options
All Notes All Notes No view options.
Individual View Individual View Select individual.
Class View Class View Select Class(s).
Year View Year View Select Year Level(s).
Complete Family Complete Family Select Family.
Follow Up Follow Up View Include / Exclude Completed.
Notify View Notify View Show All
Attendance View Attendance View No view options.
5. In the NOTE GROUPS area ensure only the note group(s) you require are ticked.

Example: Medical

6. Select the DATE RANGE (if appropriate. For all medical notes leave blank.)
7. Click on the Preview on the tool bar.

Result: The report will be displayed.

8. Click on the Printer button to print the report.
Or
Click on the Back button to close the preview and return to the Note Diary form.


SAS2000 and Pay2k Training

SAS2000 and Pay2k training is held in our training room at 427 City Road, South Melbourne.

We have some new courses starting in June.

The courses are
Enrolments Refresher. This is a half day course that reviews the process of entering enrolments into SAS2000.

Creditors: This is a full day course that works through all aspects of the Creditors module in SAS2000, from raising the purchase orders, to entering the creditors invoice, to making payments to an individual or doing a payment run for all invoices that are due.

Short Course
We are also running some short courses. Short courses are 1 ½ hours long and will look at 1 area of SAS2000.

The short courses are:
Attendances. This course looks at all the aspects of the Attendances module in SAS2000. The course covers the set up that is required to use the module, the process to record an attendance or absence, and the attendance reports.

Period Absences. This course looks at the Period Absences module in SAS2000. The course covers the set up that is required to use the module, the process to record absences per period or a whole day, and the Period Absences reports.

Student Activities. This course looks at recording the co-curricular activities that the students attend at school. eg, Music lessons, Sports, After School Care. The course covers the setup that is required to use the module, the process to assign teachers and students to activities, the process to bill for the activities (if required), and the Student Activities reports.
