Introduction
Welcome to the fortnightly newsletter on SAS2000.
The newsletter gives you information on:
Victorian CEO Schools
Literacy Assessment and Reading Recovery Assessment Seminars
With the July 22 deadline for the Student File 9 export fast approaching, we are offering Literacy Assessment & Reading Recovery seminars at our Training Centre in 417 City Road, South Melbourne.
The sessions are 1 ½ hours in duration. So that you gain the maximum benefit we have restricted the numbers to 20 per session, and please only one person per school. There is no charge for you to attend the seminar but because of the expected strong interest and limited seating please book early.

Currently the Literacy and Reading Recovery Assessment areas in SAS2000 are only available to CEO Victoria Schools.

In this section of the newsletter we review selected items from the latest release of SAS2000.

Budget Account Totals Report.
The following improvements were made to this report.
 |
The formatting of the report has been improved. The report layout is now similar to the Income & Expense report.

 | Brackets are now used on the report to signify negative amounts.
|
 | The “Include Details Report” option has been renamed to “Show Individual Months”, to give a clearer description for this option.
|
 |
The option to include or exclude last year's balances has been added to the report. Previously the last year balance was always included on the report.
|
The report is located under
REPORTS > GENERAL LEDGER > BUDGET ACCOUNT TOTALS.

Family Discount Fee Linking.
When generating fees, any family discounts will now be tied to the fee item that they reduced. This will ensure that these discounts are not inadvertently and incorrectly applied against other outstanding amounts.
Any fees that have been linked will be displayed differently in the Accounts tab of the Contact Record. The discount will be netted off against the relevant fee item and the fee item will appear in italics to indicate that the discount has been applied.

 | Docket Printing.
The ability to print receipts to docket printers was introduced in release 5.0.893 of SAS2000. In this release we made adjustments to docket printing to ensure compatibility with the Star SP512 Docket Printer.

 | Standardised Student Name Reporting.
All student names are now reported using a specific format:
JONES, Fredrick “Freddy”
The preferred name and first name will now appear on all reports. Middle names will generally not be displayed in reports. The only exception to this rule would be for verification reports, or reports with a specific legislated structure.

Latest version of SAS2000
The latest release of SAS2000 is 5.0.915a. This was a minor maintenance release for 5.0.915 that was recommended for download by Victorian Independent schools, and schools who use the Creditors module. Other schools can choose to load the update to 5.0.915a or wait until the next major release in June.
If you do not already have release 5.0.915 or 5.0.915a installed, release 5.0.915a is available for download from our website.
Please refer to your organisation's internal policies as to the upgrading of SAS2000 at your school.

A Welfare module is being added to SAS2000. The welfare module has 4 components:

Referrals Register.

Accident, Illness & First Aid Register.

We will look at each of the components of the welfare module in turn. We looked at the Referrals Register in the SAS2000 Newsletter Issue 1/2005, and the Accident, Illness & First Aid Register in Issue 2/2005. In this newsletter we will look at the Awards Register.
Awards Register
The Awards Register is used to track presentations made to Students. The types of awards that the Awards Register could record are:
 | Annual Academic and Sporting Awards.

 | Positions of Leadership
|
 | House & School Colour Award programs
|
 | Minor certificates and presentations through out the year
|
The Award Record will record;
 | The Award Details; the date of the award, the award type, and the status of the award.
|
 |
A listing of all the students who received this award type on a particular date, with the individual citation (if any) they received and which staff member nominated the student for the award.
|
There will be 3 reports for the Awards Register:

The report will list each Award within the selected date range. The report will list:
 | The Date and Type of the Award.
|
 | Each student for the award entry (where they meet the selection criteria).
|
 |
The citation on the student’s award, if any.
|
 | The name of the Issuer of the award.
|
 |
The award status.
|

| Student Awards |
The report will list for each selected student the awards they have received in the selected date range. The report will list the Student Number and Name.
For each Award for the student the report will list:
 | The Date of the Award.
|
 | The Award Type.
|
 |
The citation on the student’s award, if any.
|
 | The name of the Issuer.
|
 |
The award status.
|
|
| Award Tally |
The report prints a grid for each tally option selected. Each grid gives a count of the number of awards for the items represented by that tally option.

You can link the students to their photos as a group rather than individually. In order for the photos to be linked as a group the file name for the photo needs to be the student number.
Follow the steps in the table below to link the photos:

Save the student photos to a folder on the computer or network.
Remember: Make a note of the location you save the photos to as you will need this information later.

Log into SAS2000.

Go to MAINTENANCE > SETUP.
Result : The SETUP form will open.

Click on the FORMS tab.
Result: The FORMS tab will be displayed.

Select the STUDENT tab on the bottom right of the form.

Fill in the details on the tab:
USE STUDENT NUMBER FORMAT. Tick if the student number is the photo file name.
PHOTOS ON . Tick to display photographs
PHOTOS FOLDER. Select the folder in which the photos have been saved.
DEFAULT IMAGE FORMAT. Select the image format of the photos.

Click on SAVE and EXIT.

Go to PEOPLE > STUDENTS.

Click on FIND.
Result : All students at the school will be selected. |

Click on EDIT.

Right click on the Photo area on the MORE tab.
Result : A menu will appear.

Select GLOBAL CHANGE.
Result : A box will appear asking if you want to apply the change to all selected records or cancel the action.

Click on APPLY.
Result : All students will be linked to their photo. |
