Literacy Assessment and Reading Recovery Assessment Seminars

With the July 22 deadline for the Student File 9 export fast approaching, we are offering Literacy Assessment & Reading Recovery seminars at our Training Centre in 417 City Road, South Melbourne.

The sessions are 1 ½ hours in duration. So that you gain the maximum benefit we have restricted the numbers to 20 per session, and please only one person per school. There is no charge for you to attend the seminar but because of the expected strong interest and limited seating please book early.

Currently the Literacy and Reading Recovery Assessment areas in SAS2000 are only available to CEO Victoria Schools.

In this section of the newsletter we review selected items from the latest release of SAS2000.

Report Groups. A powerful new filtering option has been added to the following reports:
Profit & Loss Detail
Income & Expense
Balance Sheet Detail
The filtering is applied by a new REPORT GROUP field has been added to the Chart of Accounts form. The Report Group field provides the ability to group together G/L Accounts which may be spread though the entire chart of accounts, and which may have no discernable pattern of numbering. Having assigned G/L Accounts to a Report Group you can then generate “extracts”, from the reports listed above, which only include G/L Accounts that are part of the selected Report Group. This will be extremely useful for reporting on diverse profit or cost centres within the school.
GENERAL LEDGER > CHART OF ACCOUNTS; select a G/L ACCOUNT.
Note: The Report Group field can be made multi select allowing a G/L Account to be part of more than one report group. Refer to the “Did you know?” section of this newsletter for information on adding items to a user code and setting it to be multi select.
A new selection criterion, “Transaction Type”, has been added to the Batch Posting History and Batch Posting History Detail reports. The “Transaction Type” criterion will enable you to select all the batch postings for a specific transaction type; e.g. All batch postings for Receipts.
Selecting a transaction type will also reduce the batch postings listed under the “Batch Post Number” criterion to just those for the selected transaction type, making it easier to locate a particular batch posting.
The reports are located under REPORTS > GENERAL LEDGER > BATCH POSTING HISTORY and BATCH POSTING HISTORY DETAIL.

Teacher Details report.
Two new options have been added to this report:
“Print as Record Sheet” prints a list of names with space to write information next to each name.
“Print Active Only” this option lets you select to print only staff recorded as active on the report.
The report is located under REPORTS > SCHOOL > TEACHER DETAILS.
Receipt Summary.
When running the Receipt Summary report grouped by Bank Deposit Slip, the following additional details will be included on the report.
The bank deposit slips date and description, and the bank reconciliation number for the deposit slip, if the deposit slip has been reconciled at the time of printing.
The report is located under RECEIPTS > RECEIPT SUMMARY and REPORTS > RECEIPTS > RECEIPT SUMMARY.


Latest version of SAS2000

The latest release of SAS2000 is 5.0.915a. This was a minor maintenance release for 5.0.915 that was recommended for download by Victorian Independent schools, and schools who use the Creditors module. Other schools can choose to load the update to 5.0.915a or wait until the next major release in June.

If you do not already have release 5.0.915 or 5.0.915a installed, release 5.0.915a is available for download from our website.

Please refer to your organisations internal policies as to the upgrading of SAS2000 at your school.

A Welfare module is being added to SAS2000. The welfare module has 4 components:

Referrals Register.
Awards Register.
Incident Register.
Accident, Illness & First Aid Register.

We will look at each of the components of the welfare module in turn. We looked at the Referrals Register in the SAS2000 Newsletter Issue 1/2005, the Accident, Illness & First Aid Register in Issue 2/2005, and the Awards Register in Issue 3/2005. In this newsletter we will look at the Incident Register.


Incident Register
The Incident Register is used to track any incidents that have occurred. Examples of the types of incidents that the Incident Register would record are:

Bullying
Fights
Vandalism, etc.


The Incident Record will record;

The Incident Details; the date, time and location of the incident, the teacher who dealt with the incident, the incident type, the status of the incident, and if the incident is confidential.
A listing of all the students who where involved in the incident, their connection to the incident e.g. witness, perpetrator etc, and the resolution.
Access to the Contact details and notes for each student, listed on the incident record, will be available from the Incident Register form.


There will be 3 reports for the Incident Register:
Incident

The report will list each Incident with in the selected date range. The report will list:
The date, time, incident type, location, teacher, status and confidential.
Each student for the incident entry (where they meet the selection criteria), their connection to the incident and the resolution.

Student Incident

The report will list for each selected Student the incidents they have been involved in during the selected date range. The report will list:
The Students Number and Name.
For each incident involving the student; the date, time and location of the incident, the incident type, their connection to the incident and resolution, the name of the teacher, the status of the incident and if it is confidential.

Incident Tally The report prints a grid for each tally option selected. Each grid gives a count of the number of incidents for the items represented by that tally option.

Did You Know?

The drop down fields in SAS2000 are User Codes, you can modify the information that is held in the user codes. Follow the steps in the table below to modify a User Code:

Step Action
1. Log into SAS2000.
2. Open the user code using method 1 or 2.
Method 1
Select MAINTENACE > USER CODES.
Click on the yellow folder for the group of codes.
Example: GENERAL LEDGER.
Click on the User Code. Example: REPORT GROUP.

Method 2
Go to the form where the drop down list you want to modify is visible.
Example: REPORTS > GENERAL LEDGER > CHART OF ACCOUNTS and double click on a G/L account to open it.
Right click on the field. Example: REPORT GROUP.
Select EDIT ITEMS from the menu that appears.

3. Modify the user code to add, edit or delete items from the list.
Action Procedure
Add To add an item to the list:
Click on the ADD button.
Enter the detail for the Description.
Click on SAVE.
Edit To edit an item on the list:
Click on the relevant item on the list.
Adjust the description.
Click on SAVE.
Delete To delete an item on the list:
Click on the relevant item on the list.
Click on the DELETE button.

Note: Make sure the item on the list is not being used, before you delete it.
4. To adjust the properties of the User Code:
Click on the PROPERTIES button.
Adjust the settings. Refer to Property Settings for more information.
Click on SAVE.

5. To get report on the details for the user code click on PREVIEW or PRINT.
6. Click on EXIT to close the user code form.


Properties Settings
The Properties area has the following settings.

Property Meaning
Caption The name that is displayed for the field. The caption can be changed.
Default Value Gives you the option to set a default value for the field.
Mandatory The field must be completed before the record can be saved.
Multiple Select Allows more than one item to be selected from the list.
Edit during Entry Allows access to the user code via method 2.
Not Required Hides the field on the form.
Autosize dropdown list

Lets SAS2000 adjust the number of rows dropdown list will display, based on the space available.
All items on the list will be available using a scroll bar.

Rows in dropdown list Fixes the length of the dropdown list display to a set number of rows. All items on the list will be available using a scroll bar.
Auto Sort Sorts the contents of the list alphabetically.
Upper Case The information in the list will be in uppercase.
Uses Value Field A field to record a value for the item on the list will be made available. The value field is used with some user codes to enter a code for the item.
