SAS2000 Newsletter Issue 5/2005
Introduction
Welcome to the fortnightly newsletter on SAS2000.
The newsletter gives you information on:
The current release of SAS2000 is 5.0.938a. If you do not already have release 5.0.938a installed, it is available for download from our website.
Please refer to your organisations internal policies as to the upgrading of SAS2000 at your school.

In this section of the newsletter we review selected items from the latest release of SAS2000.
DEST Staff Census |
A new report to assist schools complete the August Staff Census for the Federal Government has been added.
When the report is generated, it will provide 4 sections:

A grid containing the census total data

 |
Details of anyone who failed validation
|
 |
Details of anyone included in the census (optional)
|
 |
Details of anyone excluded from the census (optional)
|

Bulk Credits
(Victorian
Schools Only)
|
The option to select the Students that have been flagged as receiving the Victorian Government Education Maintenance Allowance (EMA) has been added to Bulk Credits.
This will make applying the school portion of the EMA to parent accounts easier and quicker.

The Trial Balance Summary Report can now be exported to a Microsoft Excel spreadsheet. This feature will be useful for visiting school accountants and auditors.

Mailing Labels |
The option to print mailing labels directly from SAS2000 has been added.
There are 5 mailing label options:
| 1. |
One label per student, addressed to the student.
|
| 2. |
One label per student, addressed to a residential guardian. If the residential guardians do not live at the same address then a label will print for each residential guardian. This feature is very sensitive – 11 Smith St will be considered a different address to 11 Smith Street.

| 3. |
One label per student, addressed to the contact marked as "Primary Mailing".
If more than one contact is marked as the Primary Mailing contact for the student, and

they have the same address then one label will print for the student.

they live at different addresses then a label will print for each primary mailing contact. This feature is very sensitive – 11 Smith St will be considered a different address to 11 Smith Street.

If no Primary Mailing contact is selected for the student the words ‘No Primary Mailing flag set’ will print on the label.

| 4. |
One label per student, addressed to the family.
This option will print one label per student for sending to the family address.
|
| 5. |
One label per family, addressed to the family.
This option will print only one label per family regardless of the number of students in the family.

The labels print to a label 99.1mm x 38.1 mm, which come in an A4 page with 14 labels to the page. This is our standard label size as it is available from a number of suppliers. Refer to the Release notes for 5.0.938a for details.

Certificates
The next release of SAS2000 will include a new certificate report. This will allow you to print certificates for any student awards you have entered in the new awards module.
Certificates print as A4 pages, and include the name of the school, the name of the award, the recipient and the citation. They also include the name of the person who proposed the award, and, optionally, the principal's name as well.
As the school name is optional, you might also choose to design and print your own full-colour certificate, and use SAS2000 to over-print the names and award details!
Alternatively, all of the award details will also be available as an export, so you can format the award exactly as you like.
When running some reports in SAS2000 a pie chart or bar graph is displayed on the report selection form. This graph can be printed.
Follow the steps in the table below to print the graph.

The Attendance module records student attendance or absence on a subject, day, time period or date range basis. This course concentrates on the initial setup and daily processing of the student attendances at the school.

Creditors
The Creditors module allows you to control and manage communication with your Suppliers. The Creditors course focuses on purchase orders, invoicing and eventual payment via EFT or cheque.

Enrolments
The Enrolments course is a refresher course aimed at reminding you of the steps involved in recording new children into your database. The course takes you through the different scenarios of adding a child who already has siblings at the school, and adding children where the family is new to the school.

Financials 1
The Financials 1 course covers the day-to-day financial activities of administration at a school. The course looks at the finances relating to the students attending the school, setting up and generating school fees, receipting fees and sundry items, creating Bank Deposit Slips, assigning Exemptions and Rebates to fees, and producing Statements for the fee payers. The course also briefly looks at keeping a register of the School’s Creditors, creating cheques and recording electronic payments to Creditors, and the Bank Reconciliation process.

Financials 2
The Financial 2 course includes a revision of generating school fees and looks at the process to manually bill students starting part way through the year. It also covers establishing and using an Electronic Fund Transfer Schedule for periodic Receipting, processing General Journals, completing the BAS, the setup and use of the Asset Register and an overview of the Creditors module for entering Purchase Orders, Creditor Invoices, and paying creditors individually or as part of a payment run.

Period Absences
The Period Absence module records student absences and attendances on a per period basis. You can determine the periods that are most appropriate for your school. e.g. an AM/PM system or a full secondary school period timetable. This course concentrates on the initial setup and daily processing of the student attendances at the school.

SAS2000 Exporting and Word Mail Merge Introduction
Exporting and Word Mail Merge introduces you to producing letters, labels and forms from SAS Student and Family data using the Mail Merge option within Microsoft Word. This course also looks at the Report Generator and creating your own customised financial reports.

Student Activities
The Student Activities course looks at recording the co-curricular activities that students attend at school. eg, Music lessons, Sports, After School Care. The course covers the initial setup, the assignment of teachers and students to activities, and the optional billing of appropriate activities.

Students & Families
The Students and Families course concentrates on the navigation of SAS2000 and the family and student data within the database. The course also encompasses the retrieval of student and family information for dealing with enquiries from parents and teachers.
