Introduction
Welcome to the fortnightly newsletter on SAS2000.
The newsletter gives you information on:
The current release of SAS2000 is 5.0.959. If you do not already have release 5.0.959 installed, it is available for download from our website.
Release 5.0.959 is a mandatory upgrade for CEO Victoria Schools. It contains the changes for Student File 5 which is due on the 5 th August 2005.
Please refer to your organisations internal policies as to the upgrading of SAS2000 at your school.

In this section of the newsletter we review selected items from the recent releases of SAS2000.
Remittance Slips |
The option to include acceptance of American Express and / or Diners Club has been added to the Remittance Slip of the Statements and the Tax Invoices.

To assist Teachers recognising unfamiliar students an option to print the Students Photo has been added to this report.
This report now includes an option to group the reports by family group to assist with collation and validation, when sending these reports home.
The medical notes now print both the note subject and content giving additional information.

The GL Reports menu has been streamlined due to the increasing range of financial reports available. The menu has been rearranged and grouped into categories, to make locating the reports easier.

Contains a mixture of reports, including Batch Posting, Recurring Transactions, General Journals and Salary Reconciliation. |

Bank Deposit Slips |
The cheque number (if entered) will now appear on the bank deposit slip, this will make checking the banking easier.

Transfer of Fee Balances
The next major release of SAS2000 (due end of term 3) will include a new feature allowing for fee balances to be transferred between contacts. This will be of use in the case of family break-ups or the death of a parent, to ensure the amounts owed can be easily and accurately transferred.
CEO Victoria Schools
Student File 5 is due on the 5 th August.
Release 5.0.959 is a mandatory upgrade for CEO Victoria Schools. It contains the required changes to Student File 5 which is due on the 5 th August 2005.
The CEO Victoria Census Preparation user guide has been updated with the changes to Student File 5. A copy of the document can be downloaded from our web site at:

You can have several forms in SAS2000 open and can flip between them using the Windows menu, in the same was as you can flip between multiple word documents in MS Word.
Follow the steps in the table below to see which forms are open in SAS2000 and flip between them.

The bottom section of the WINDOW menu displays the SAS2000 forms that are currently open.

To flip to a different form that is open, click on the form name on the WINDOW menu.
Result: This form will be brought to the front.

Attendances
The Attendance module records student attendance or absence on a subject, day, time period or date range basis. This course concentrates on the initial setup and daily processing of the student attendances at the school.

Creditors
The Creditors module allows you to control and manage communication with your Suppliers. The Creditors course focuses on purchase orders, invoicing and eventual payment via EFT or cheque.

Enrolments
The Enrolments course is a refresher course aimed at reminding you of the steps involved in recording new children into your database. The course takes you through the different scenarios of adding a child who already has siblings at the school, and adding children where the family is new to the school.

Financials 1
The Financials 1 course covers the day-to-day financial activities of administration at a school. The course looks at the finances relating to the students attending the school, setting up and generating school fees, receipting fees and sundry items, creating Bank Deposit Slips, assigning Exemptions and Rebates to fees, and producing Statements for the fee payers. The course also briefly looks at keeping a register of the School's Creditors, creating cheques and recording electronic payments to Creditors, and the Bank Reconciliation process.

Financials 2
The Financial 2 course includes a revision of generating school fees and looks at the process to manually bill students starting part way through the year. It also covers establishing and using an Electronic Fund Transfer Schedule for periodic Receipting, processing General Journals, completing the BAS, the setup and use of the Asset Register and an overview of the Creditors module for entering Purchase Orders, Creditor Invoices, and paying creditors individually or as part of a payment run.

Period Absences
The Period Absence module records student absences and attendances on a per period basis. You can determine the periods that are most appropriate for your school. e.g. an AM/PM system or a full secondary school period timetable. This course concentrates on the initial setup and daily processing of the student attendances at the school.

SAS2000 Exporting and Word Mail Merge Introduction
Exporting and Word Mail Merge introduces you to producing letters, labels and forms from SAS Student and Family data using the Mail Merge option within Microsoft Word. This course also looks at the Report Generator and creating your own customised financial reports.

Student Activities
The Student Activities course looks at recording the co-curricular activities that students attend at school. eg, Music lessons, Sports, After School Care. The course covers the initial setup, the assignment of teachers and students to activities, and the optional billing of appropriate activities.

Students & Families
The Students and Families course concentrates on the navigation of SAS2000 and the family and student data within the database. The course also encompasses the retrieval of student and family information for dealing with enquiries from parents and teachers.
