Introduction
Welcome to the fortnightly newsletter on SAS2000.
The newsletter gives you information on:
The current release of SAS2000 is 5.0.959. If you do not already have release 5.0.959 installed, it is available for download from our website.
Please refer to your organisations internal policies as to the upgrading of SAS2000 at your school.

In this section of the newsletter we review selected items from the recent releases of SAS2000.
Fee Mailing Export |
A number of changes have been made to this export to make it more useful.
| Date Filter |
You can now select to show only fees owing at a particular date. This is very useful for those schools that generate forward dated bills. |
| New Filters |
Payment Frequency and Classification have been added as filters on this export. This information will also appear as columns in the export. |
| Last Payment |
The date and the amount of the last payment received will now appear as 2 columns in this export. |
The new filters are cumulative; this means you can use multiple criteria to select the correct records.

The production of presentation certificates directly from SAS2000 has been added to the Awards Module.
The Certificate Report can print the full certificate or the School name and / or the Award type can be hidden if you wish to develop your own pre-printed certificates to use with this feature.

Two changes have been made to this report.
 |
The student’s date of birth is now included on the report. This is useful if medical treatment is required while away from the school.

The Medical Notes now print both the note subject and the content.
|

Creditor Listing |
A new option has been added to allow the pull down list of Creditors to be sorted by either the Creditors Code or the Creditors name.

The next major release of SAS2000 (due at the end of Term Three) contains two new reports to produce class lists of students by subject.
The first report uses the subject information stored in the Subjects field on the main Student record tab in SAS2000.
The second report is available for schools with a linked First Class timetable. This report will print class lists based upon the subject information stored in First Class.
DEST Census
We have had some enquires as to how the student age is calculated for the DEST Census.
The students age shown on the DEST Census report is calculated at the 1 st July as per DEST requirements.
Follow the steps in the table below to run the DEST Census report

Note : The Census date is not used in the calculation of the students age. The students age is always calculated at the 1 st July. |

The DEST CENSUS report gives you the information for completing the reports required by DEST.
CEO Victoria Schools
CEO Victoria Schools please note that Student File 5, which you submit to the CEO with the DEST Census information, exports the students Date of Birth. The students age is not part of the exported information.
Marian Shoebridge from Sydney CEO has created a new Enrolment Form for the SAS Schools in her diocese. Marian has kindly allowed us to place it on our web site so all SAS Schools can use it.
The Sydney CEO Enrolment Form is a Microsoft Word document that you can alter to suit your needs.

Select School Administration under the Products heading. |

Select Knowledge Base on the left hand side of the screen. |

Select Enrolment Forms under General Information. |

Select and download the CEO Sydney Enrolment form. |
Once you have completed the BAS in SAS2000 and are satisfied it is correct you must Lodge the BAS in SAS2000 to finalise it and stop it from being changed.
Follow the steps in the table below to Lodge the BAS.

Ensure you are satisfied that the figures reported on the BAS are correct.

Go to General Ledger > Business Activity Statement.
Result: The Business Activity Statement form will open.

Select the BAS you are working with and call it up on screen.
Example: Key in the BAS from date at A3 and click on the FIND button. |

Check that the BAS has not changed since you checked it and that a recalculate button is not visible.

If the BAS is correct proceed to step 6.

If the BAS needs to be recalculated proceed to step 5.
|

If the RECALCULATE button is visible the information for the BAS period has changed since the BAS was saved.

Investigate what has changed.

Recalculate the BAS.
|
 |
Save the BAS.
|
 |
Recheck the figures to ensure they are correct.
|
Before proceeding to step 6.
|

Click on the LODGE button, on the bottom left corner of the form.
Result: The BAS will be finalised in SAS2000 and no changes can be made to this BAS in SAS2000. Once lodged the BAS CANNOT be unlodged.
Note: The lodge button in SAS2000 does NOT transfer any information to the ATO, it just finalises the BAS in SAS2000.

Complete the BAS form you have received from the ATO with the details from the SAS2000 BAS and send the form to the ATO.

Attendances
The Attendance module records student attendance or absence on a subject, day, time period or date range basis. This course concentrates on the initial setup and daily processing of the student attendances at the school.

Creditors
The Creditors module allows you to control and manage communication with your Suppliers. The Creditors course focuses on purchase orders, invoicing and eventual payment via EFT or cheque.

Enrolments
The Enrolments course is a refresher course aimed at reminding you of the steps involved in recording new children into your database. The course takes you through the different scenarios of adding a child who already has siblings at the school, and adding children where the family is new to the school.

Financials 1
The Financials 1 course covers the day-to-day financial activities of administration at a school. The course looks at the finances relating to the students attending the school, setting up and generating school fees, receipting fees and sundry items, creating Bank Deposit Slips, assigning Exemptions and Rebates to fees, and producing Statements for the fee payers. The course also briefly looks at keeping a register of the School's Creditors, creating cheques and recording electronic payments to Creditors, and the Bank Reconciliation process.

Financials 2
The Financial 2 course includes a revision of generating school fees and looks at the process to manually bill students starting part way through the year. It also covers establishing and using an Electronic Fund Transfer Schedule for periodic Receipting, processing General Journals, completing the BAS, the setup and use of the Asset Register and an overview of the Creditors module for entering Purchase Orders, Creditor Invoices, and paying creditors individually or as part of a payment run.

Period Absences
The Period Absence module records student absences and attendances on a per period basis. You can determine the periods that are most appropriate for your school. e.g. an AM/PM system or a full secondary school period timetable. This course concentrates on the initial setup and daily processing of the student attendances at the school.

SAS2000 Exporting and Word Mail Merge Introduction
Exporting and Word Mail Merge introduces you to producing letters, labels and forms from SAS Student and Family data using the Mail Merge option within Microsoft Word. This course also looks at the Report Generator and creating your own customised financial reports.

Student Activities
The Student Activities course looks at recording the co-curricular activities that students attend at school. eg, Music lessons, Sports, After School Care. The course covers the initial setup, the assignment of teachers and students to activities, and the optional billing of appropriate activities.

Students & Families
The Students and Families course concentrates on the navigation of SAS2000 and the family and student data within the database. The course also encompasses the retrieval of student and family information for dealing with enquiries from parents and teachers.

Pay2k Training
The Pay2k course covers all the aspects of setting up payroll, the process of running the payroll each pay period, the pay reports, and the Month End procedures and reports.
